Cost Segregation Asset Register and Reconciliation Template

Keep building basis, furnishings, renovations and the prior depreciation schedule connected without double counting.

Choose stable asset references

Use identifiers that connect an item across invoice, photo, study schedule and tax asset file. Record the property and cost period separately. A refrigerator transferred at closing and a refrigerator bought later need separate references even if their descriptions match.

Build the cost bridge

Start with the agreed acquisition or construction amount. Show land and other excluded amounts, separate personal property, additions and supported adjustments in distinct rows. The resulting study pool should reconcile to the agreed amount. An unexplained residual is an open question rather than a component allocation.

Preserve the old-to-new mapping

For an existing rental, keep the original tax asset identifier next to each proposed new component group. Ask the preparer to prevent the old building amount and the reclassified amounts from being depreciated twice. The provider’s classification schedule and the return preparer’s implementation schedule serve related but different purposes.

Review exceptions before sign-off

Flag missing invoices, mixed-use items, seller-retained furnishings and costs already deducted or separately capitalized. The reviewer should resolve each exception or retain a clear limitation. Keep the final bridge, source register and approved report together so a later preparer can understand the transition.
